AV & LIGHTING
Audio Visual & Lighting for DFW Events

The right AV can be the difference between a forgettable presentation and a moment your guests are still talking about weeks later. Whether it’s crystal-clear sound carrying every word from the podium, stage lighting that transforms a ballroom into something cinematic, or a video wall that makes your brand impossible to ignore, because the technical layer of your event shapes how everything else is experienced.
At Party Time Texas, AV and lighting isn’t an afterthought we subcontract out. It’s a core part of what we do, and it’s been part of our production capability for nearly 50 years. Our technical team handles everything from load-in and system checks to live execution and teardown, so you’re never wondering whether the mics will work, the slides will advance on cue, or the room will look the way you envisioned.
We scale to your event. A 200-person corporate dinner has different needs than a 1,500-person gala, and we staff and equip accordingly. Every deployment includes certified technicians on-site for the full duration of your event; not just setup and goodbye.
Professional AV and lighting, sized and staffed for your event, not a copy and paste of someone else’s.
What’s Included in Our AV & Lighting Service
Sound Systems
From full-range main PA systems capable of filling 2,000-capacity venues to wireless microphone arrays for panels, speakers, and MCs, our audio setups are built for intelligibility. We carry 4–8 channels of wireless microphones and lapel/headset units so your presenters can move freely and speak confidently.
Stage & Event Lighting
Our lighting inventory includes 20+ LED par cans with RGB color mixing, 4–8 moving head fixtures for spot and wash capability, 8–12 stage lighting fixtures for front, side, and key light coverage, and LED uplighting for ambiance and accent work. For venues that require it, we handle all rigging: chain hoists, truss, and safety cables.
Video & Display
We configure LED video walls to the dimensions your venue and content demand. For presentations, we deploy 2–3 screens or projectors with professional-grade video switching and backup systems built in, so a single component failure never takes down your entire display.
Technical Staffing
Standard events (200–300 guests) include a Lead AV Technician, a Lighting Technician, and a setup/breakdown crew. Large and premium events (500+ guests) add an AV Director, Audio Engineers, Lighting Designers, and a dedicated Video Operator. You’ll always have the right number of hands for the complexity of your event.

All It Takes Is 4 Steps to Handle Your AV & Lighting with Party Time Texas

1. Event Intake & Technical Planning
We start with the specifics of your event: venue, guest count, program format, and any special production needs. From there, we build a technical plan covering equipment selection, staffing, and site requirements.

2. Venue Coordination & Site Review
Our team coordinates directly with your venue to confirm load-in timing, power availability, rigging restrictions, and layout. No surprises on event day.

3. Setup, Testing & Sound Check
We arrive early. Equipment is staged, rigged, and tested before a single guest walks in. Microphones checked, lighting programmed, video feeds confirmed. We don’t rush setup.

4. Live Execution & Breakdown
A dedicated technician stays at the board for the duration of your event, making real-time adjustments to audio, lighting, and video as your program unfolds. When it’s over, our crew handles full breakdown and load-out.
Built for the Person Responsible for Making It Great
You need a technical team that shows up knowing what they’re doing, not a team you have to manage.
If you’re the one responsible for how this event lands, you already know that AV problems are the kind of thing everyone notices and no one forgets:
- A mic that cuts out during the keynote
- Slides that won’t advance
- A room that’s half-lit and echoey
These aren’t just technical failures, they reflect on you.
Party Time Texas has been the backstage infrastructure for DFW events for nearly 50 years. Our AV and lighting teams are experienced, appropriately staffed for your event size, and present for the entire event (not just load-in). You can stand in the room and focus on your guests, knowing the technical side is handled.

Everything DFW event planners ask us before booking AV and lighting.
Frequently Asked Questions
Can you handle both indoor and outdoor events?
Yes. Our equipment inventory is built for both environments. Outdoor events require additional planning around power, weather protection, and sound projection, and we account for all of that in the technical planning phase.
Do you handle AV for events with live entertainment?
Absolutely. We’re experienced coordinating AV and lighting alongside bands, DJs, keynote speakers, and mixed-format programs. Our team works directly with entertainment vendors on technical riders and cue coordination.
What happens if something fails during the event?
Every deployment includes backup systems for critical components like video switching, microphones, and projection. Our on-site technicians are trained to troubleshoot and pivot without disrupting your program.
How far in advance should I book AV services?
For standard events, 4–6 weeks is a comfortable lead time. For large or premium productions with complex rigging or video wall configurations, 8–12 weeks is better. We’ll tell you early if your timeline is tight.
Do you work at specific venues, or anywhere in DFW?
We work throughout the Dallas-Fort Worth metro at hotels, convention centers, outdoor venues, private estates, and corporate facilities. We coordinate directly with venue management on load-in, rigging clearance, and access.
Is technical staffing included in the service, or is it additional?
Staffing is built into our AV service, so you’re not hiring equipment and then separately sourcing labor. Your quote includes the technicians required for your event’s size and complexity.
